Quick Start Guide

What it is

Hāloa Flow connects your calendar and your email so they work together. Most apps show you one or the other. Hāloa Flow looks at both at the same time: what is coming up on your calendar and what is waiting in your inbox. Then it brings you the right thing at the right moment.

For example, it can:

  • Show you the emails related to a meeting as you get ready for it.

  • Bring up emails that need an answer when you actually have a gap in your day.

  • Warn you when two meetings overlap, or when it is time to leave to get there on time.

  • Give you a summary of your day in the morning and a short wrap-up in the evening, built from both your calendar and your email.

  • Turn an email that mentions a time into a calendar event, and help you draft the reply. (Premium)

  • Suggest a break when you have a real gap before your next meeting. (Premium)

  • Give you a Week in Review of how your week went. (Premium)

It works in the background and speaks up with notifications. For that to work, allow notifications when the app asks, do not force-stop it, and open it once a day.

Getting set up

  1. The first screen. Allow calendar access (the app cannot do its job without it) and pick any features you like. Then tap "Send my email" and "Finish setup." You do not need to send the email. Just come back to the app.

  2. Everything else is set up from the Settings screen. Tap the gear icon at the top right. There you will find:

    • Connected Accounts: connect Gmail or Outlook. This is what lets Hāloa Flow link your email to your calendar, so it is the step that makes the biggest difference.

    • Home / base location: lets the app time leave-now alerts to your real trip.

    • Favorite Locations and VIP People: the places and people you care about most.

    • Background Alerts: on some phones, exempting the app from battery optimization keeps alerts arriving on time.

    • Allow notifications when asked.

What to expect

  • Right after setup the screen may say "All clear for now." That is normal. It means nothing needs you at the moment, and your next meeting shows underneath.

  • Your first Morning Briefing arrives the next morning. Read it and tap "Got it."

  • If your calendar is nearly empty, add a test meeting for later today. That is the quickest way to see a heads-up.

  • Over a few days you will also see leave-by reminders for meetings with an address, and overlap alerts when two meetings clash.

Your data

Hāloa Flow reads your calendar, and your email if you connect it, to work out what to show you and when. You choose what to connect, and you can disconnect an account in Settings at any time. A few features, such as drafting a reply or turning an email into a calendar event, send only what that task needs to our server, and only when you ask for it.
